POSITION:     Protective Order Legal Assistant

SALARY:        $42,348.00

JOB SUMMARY:

Reporting directly to a Division Chief, responsible for providing advanced legal assistance to assigned legal staff, and acts as a liaison between attorneys, courts, witnesses, law enforcement agencies, other agencies, and the public. Assists legal staff by drafting all necessary legal documents.

General Duties:

  • Creates, organizes, copies, and prepares prosecution case files and inputs data into appropriate case systems
  • Enters, updates, and retrieves information across multiple systems and databases
  • Assists attorneys in court and helps maintain court dockets and calendars
  • Routinely communicates with court personnel regarding upcoming case settings and case management
  • Submits electronic reports to Texas Department of Public Safety and Criminal Justice Information Services (CJIS)
  • Requests case reports and evidence from the appropriate agencies
  • Receives media and documentary evidence from external agencies and internal staff
  • Assists law enforcement agencies with receipt of media evidence
  • Accesses law enforcement databases to acquire various reports and documents as needed
  • Assists in preparation of witness and evidentiary subpoenas
  • Maintains confidentiality and security of records and information
  • Ensures all case documents received are appropriately attached and labeled in the case file
  • Prepares witness and victim subpoenas and monitors/updates the subpoena tracking system
  • Provides administrative support to include mailing paperwork, answering telephones, faxing, scanning, creating communications, making copies, and dispensing mail
  • Cross-trains and serves as back up in other areas to ensure continuity of departmental operations
  • Ensures all visitors comply with Texas Crime Information Center (TCIC)/National Crime Information Center (NCIC) policies
  • Communicates frequently with County personnel, Attorneys, law enforcement agencies, and the public
  • Prepares petitions, motions, orders, and other legal documents
  • Research case information
  • Files, makes copies, and mails notices
  • Arranges and coordinates witnesses
  • Notarizes legal documents
  • Attends court to assist attorneys, as needed
  • Assists with the preparation of discovery, subpoenas, briefs, bench warrants, and other time sensitive legal documents
  • Assists with records management and filing, including e-filing and use of the County’s electronic case management system
  • Prepares trial notebooks for prosecutors and assists with court room technology for displaying evidence
  • Attends all meetings and trainings, as required
  • Performs special duties as assigned
  • Creates case shells for all protective order inquiries
  • Conducts conflict checks across divisions and records
  • Runs criminal histories and locates information in CJIS databases
  • Assists law enforcement with evidence being properly obtained and distributed to the protective order file
  • Works closely with the victim assistance coordinator and investigator assigned to protective orders
  • Obtains non-law enforcement records such as medical records, phone records, and certified records from County and District Clerk’s Offices nationwide.
  • Creates and organizes service packets and assists in coordination with process serving agencies
  • Assists in the data entry of necessary information into CJIS databases
  • Drafts and files all necessary paperwork, to include but not limited to, applications for protective order, temporary ex parte protective orders, affidavits, temporary ex parte protective order extensions, and final protective orders
  • Compiles, organizes, and prepare all exhibits for presentation to the Court

REQUIREMENTS:

Associate’s degree or equivalent and combination of education and experience equivalent to one year of paralegal or related field.  Strong organizational skills and proven ability to maintain accurate and detailed records.  Able to work under pressure in a high volume office, produce accurate work and meet established deadlines.  Dependable, resourceful, and able to work independently and to maintain strict confidentiality.  Proven knowledge and experience with system software such as Oracle, Microsoft Excel, 10 key calculators by touch, fax and copy machines.  Ability to type and enter data with appropriate speed and efficiency.  Ability to work effectively with co-workers, employees and management in a pleasant, professional manner.  Excellent interpersonal, oral and written communication skills.

ENVIRONMENTAL FACTORS: Mainly indoor activity.  Significant contact with the public, crime victims, witnesses, persons accused/convicted of crimes, police officers, and other law enforcement /courthouse personnel.

About This Office

Williamson County is a medium size office serving approximately 28 law enforcement agencies including the City of Austin, Round Rock, Cedar Park and Georgetown. Health and retirement benefits provided through Williamson County.
